Medication workflows

There are a number of workflow option available to organisations using MMEx. These can be configured in the Organisation Centre.

Administering:

You may elect to allow Administration directly from Scripts or to utilise the complete Script > Dispense > Supply > Administer workflow. These options can be set by your Organisation Administrator using the Allow Administration from script setting

Verbal Telephone Orders

Your workflow can be set to utilise the VTO feature for a range of steps in the prescribe/dispense/supply/administer workflow. These options can be set by your Organisation Administrator using the

  • Enable VTO workflow for dispensing medication
  • Users must supply/administer when dispensing medication from a VTO/Standing order.

Prescribing

You may select the prescription types that are visible to your users - choosing from:

  • Enable S100/non-S100 Script types
  • Preventing users from being able to create PBS, RPBS or Private Scripts
  • Allow partial Pack prescriptions (Prescribe less than the minimum PBS quantity)
  • CTG prescriptions

Authorising Identifiers

You may select what identifiers are required at particular stages of the dispense, supply and administer workflow. You may choose from:

  • Prescriber ID
  • RAN ID
  • PIN

Options may also be marked as mandatory fields or as requiring validation before they will be accepted.

Medication PIN

To set a medication PIN you need to open your profile settings.

Click on My Profile in the Preferences section of the Settings side menu.

Your user profile will open. Scroll to the bottom of the page and click on Change link.


You will see a pop up advising that you will be logged out and will need to re-enter your user access details before setting your medication PIN.


Re-enter your details and you will be taken to the Medication PIN screen. Enter and confirm a 4 digit PIN number and click OK.


Confirming Medications

With Organisation settings configured to require medications to be confirmed, and for that confirmation to be validated with a PIN, Prescriber ID or RAN ID (org settings), you may be asked (this is role dependent) to have another user confirm your Medication action.

Schedule 8

This is an optional workflow that some organisations may utilise when supervising student doctors.

In the User permissions, the Organisation Administrator may assign Schedule 8 prescribing permission to senior clinicians and schedule 4-7 prescribing permission to junior doctors or interns. This will place a requirement on the junior doctor/intern to have a senior doctor confirm (or “approve”) the Schedule 8 prescription before it can be finalised or printed.

Junior Doctor's workflow

When the Doctor selects a Schedule 8 medication, two new fields appear in the Prescribing screen.

A Clinician with the Schedule 8 permission must be selected as the Confirmed By user and then enter their Medication PIN in the relevant field.

The prescription is completed as per usual processes.

On the Medication screen you will see the Confirmation details. The Drug History will also note the confirmation details.

Dispensed

Go to patient search and chose your patient. Click the medications tab and chose the medication to be administered. Right click the drug and chose dispense. Go in to dispense a medication as you normally would. You will notice the configuration for where you normally double check is different.

The name of the user dispensing the medication’s name will auto-populate into the “Dispensed By” box. You will need to search the name of the user who is double checking the medication by clicking on the “Magnifying Glass” icon to the right of the “ Confirmed By” field. Once you have selected the user you will need them to enter their PIN number into confirm it is them.

If you are then going to “Administer” the medication from this screen, you will also need to search for the user who is double checking it with you and get them to enter their PIN.

Administered

Go into “Administer” a medication.

The name of the user administering the medication will auto-populate into the Person Who Administered box. You will need to search the name of the user who is double checking the medication by clicking on the “Magnifying Glass” icon. Once you have selected the user you will need them to enter their PIN into confirm it is them.
